ePACT is the exclusive emergency network for the National Recreation & Park Association, providing special discounts and resources to all NRPA members. This cloud-based system complements recreation and member management software to replace the paper forms Parks & Recreation and YMCA programs use to collect critical information from the families they serve.

With ePACT, organizations easily move their paper-based forms online, securely collecting emergency and health data, special accommodations, consents, and waivers direct from families. They can also communicate with families and families’ emergency contacts, run reports, store and share documents, and much more to help with day-to-day operations and crisis situations, like an injury, evacuation, or lock-down.

The way ePACT works is very simple. Families create their ePACT private, personal emergency record (PPER) that they own and use to securely store all their critical data online. Families then connect and share their PPER with friends and relatives who support them as emergency contacts. Organizations using ePACT, request access to families’ PPER and, once connected, have secure, anytime, anywhere access to the data, communications (email, text, voice), and other features needed for their programs.

Families only need to input their information into their PPER once, and then can share it with any community organization program-after-program, year-after-year. Once they connect their PPER to friends and family as support people, these individuals then become part of their network and can be tagged as emergency contacts that programs can also message. And anytime families update their PPER in the future, such as adding a new cell phone or medication to their record, any connected people or organization immediately see that new data. This keeps everyone automatically up-to-date all year round.

For organizations, ePACT reduces administration time, costs, and risks, especially for programs that must collect, manage, and store critical family data as part of their legal or licensing requirements. With ePACT, organizations are immediately better prepared for day-to-day and emergency support of the kids, adults, or communities they are responsible for.

Unlike paper forms and many other systems, ePACT meets legislative privacy and security needs around personally identifiable information, including HIPAA-compliance. ePACT controls access to information so that authorized administrators can only see participant records for those they are responsible for. Staff can run reports to identify allergies, medications, dietary restrictions, or other medical concerns to help prepare for programs, respond in a crisis, or archive records for data retention requirements, and with the ePACT App, data is available anytime, anywhere, even without cell or wifi service.

ePACT’s Check In-Check Out feature also transforms drop-off and pick-up processes for child programs. Staff manage check in and check out functionality from the App, ensuring the families’ designated legal guardian, emergency, or pick up contact is present, and have them initial or sign on the mobile device. Staff can generate daily system reports with timestamps, initials, and signatures for tracking purposes, while records are automatically archived for organizations’ required licensing retention period.
